Application
for Job
Application
letters are written when someone needs a job. An application letter is like a
sales letter, because through application letter, the applicant tries to sell
his services. The main objective of an application letter is to attend an
interview and get placed. The letter must convince the prospective employer
that he can gain from the services that the applicant offers. There are two
types of application letters. They are:

Solicited application letters are
written in response to an advertisement
·
Unsolicited application letters are
written at the applicant’s initiative.
A
resume of applicant’s education, extra-curricular activities and experience
must be given. The resume must be enclosed as a separate sheet called Bio-data
or Curriculum Vitae.
Features of a good application
letter:
- Application
letter should be as short as possible.
- Handwriting
must be legible.
- When
an application is written in response to an advertisement, then the name
of the newspaper and the post must be mentioned.
- Mention
your qualification and experience.
- The
body of the application must be divided into paragraphs each containing
separate ideas.
- To
and From addresses must be written clearly.
- Give
a brief assurance that you would work to the fullest satisfaction of the
employer.
- The suitable salutation used is “Respected Sir”.
- “Yours
faithfully” or “Yours Sincerely” is a good complimentary close.
- Attach
all enclosures mentioned in your application letter.
Structure of the application letter
1)
Address
of the applicant:
Applicant’s
address is written at the left-hand top corner. In this case, the word “From”
must be written before beginning the address in the next line. However, this
address can also be written at the right-hand top corner of the letter. In this
case, the word “From” should not be written before beginning the address in the
next line.
2)
Address
of the employer or Inside Address;
The
word “To” must be written before writing the inside address in the next line. The
letter should be addressed to the appropriate officer.

Salutation:
“Respected
Sir”/ “Respected Madam” or “Sir” is the common salutation used in all types of
application letters.
4)
Subject:
The
main aim of the letter will be given in one line as Subject. Subject is given
below the salutation. Sometimes the word “Regarding” is also used in the place
of Subject.

5)
The
opening paragraph:
The
opening paragraph should attract the attention of the employer and create an
interest to read the letter further. Give a brief and direct statement in the
opening paragraph.
Examples
of opening paragraph:
·
With reference to your advertisement in
The Hindu of 13th March 2020, I wish to apply for the post of……..
·
In response to your advertisement dated
13th March 2020, I wish to apply for the post of …….
·
Your advertisement in The Hindu, dated
13th March 2020 for the post of ………suits my qualifications and
experience.
6)
The
middle paragraph:
The
middle paragraph of the application letter or the body of the letter should be
brief but must contain all relevant facts. The basic information about the
applicant must be given in this paragraph. Simple, sincere and correct words
must be used. The details given in this paragraph must be clear. It must
contain information like education, age, experience, technical
skills and languages known. The applicant should also give Reference. He / She
must mention at least two persons names, addresses and contact number to whom
the prospective employer can get information about the sincerity and capability
of the applicant.
7) The concluding paragraph:
The
concluding paragraph must motivate the prospective employer to take a
favourable action that is, giving an opportunity to attend the interview. The
supplicant should not create sympathy by using the words and phrases like “please”
or “I request you to give me an opportunity to work in your firm”. The
applicants will be selected for the interview only on the basis of applicant’s
capability and skills and not out of sympathy.
The
word “You” must be used in this
paragraph. The concluding paragraph must be gentle but forceful. Examples are
as follows:
Thank
You very much.
We shall be looking forward for your response.
We
look forward to serve you.
I
look forward for an opportunity to attend the interview in your firm.
8)
Complimentary
close and signature:
Complementary
close is the polite way of ending the letter. The most commonly used
complementary close is “Yours
faithfully” or “Yours sincerely”. Don’t use the complementary close “Yours
Obediently” or “Yours Respectfully”.
Below the complementary close, the applicant
must put his / her signature with date. The name of the applicant must be
written within brackets below the signature.
9) Enclosures:
The applicant should always mention the nature of documents and other papers
attached to the application letter. Short form of enclosures “Encls:” can be
used and it should be written directly opposite the complementary close, that
is, on the left-hand side of the application letter.
10) Date:
Date
can be written on the right-hand top corner of the letter or below enclosures.
Application Blank:
Many
organizations, both Government sector and private concerns have their own
prescribed application form which contains many questions to be answered by the
applicant. Now-a-days, application forms can also be downloaded from the
organization’s website by clicking the link given in the advertisement. Soft
copy of the filled in application forms can be directly mailed to the e-mail id
given in the advertisement or the hard copy of the filled in application form
can be sent to these prospective employer through registered post.

Vitae
The
first step for a candidate who needs a job is to prepare curriculam vitae. The
other names of CV are resume, bio-data, and profile. A resume is attached to an
application letter. It is, therefore read only after the application letter.
But resume is the thing a candidate should prepare first.
A resume is a written statement of candidate’s
personal history, biographical details, educational qualifications,
work-experience and other strong point that make the candidate suitable for
getting selected for a job.
The conventional method of writing a
resume is to begin with personal details and ends with references. But today a
more practical method is followed to prepare a resume. That is, the candidate
should begin with the category which is more important. Suppose, if the
candidate has little or no working experience but has a good education then
he/she should begin with educational qualifications. In this method, personal
details will appear at the end, before references.
Suppose
if the candidate has a strong work experience, then he/she must begin with work
experience followed by educational qualifications. The candidate should mention
the total experience, part-time as well as full-time. But if the candidate has
more full-time work experience, then he should not mention the part-time job.
The
candidate should never write ‘no experience’. A fresh candidate may have at least little professional experience
while doing his graduation. Every candidate gains some experience by organizing
functions, representing associations, clubs , by means of field visits,
projects, and industrial training. All such exposures are a fresh candidate’s
experience.
The
candidate should write positively. Instead of writing ‘no experience’, the
candidate should mention all those activities performed by him/her as a
student. Students who earned while learning can mention as experience.
Order to be followed for writing
educational qualification & experience
The
highest qualification is the most important qualification. Therefore, the
highest qualification should be mentioned first and the go downwards up to the
school level qualification.
Regarding
experience, begin with the present position and then mention the previous work
experiences.
Resume for fresh graduates
A
fresh graduate’s resume includes his/her career objective, education, work
experience and school/college activities.
